Concord Hospitality is seeking a passionate Food & Beverage Administrative Manager to lead our F&B operations and deliver exceptional guest experiences. This role is responsible for overseeing all HR and internal accounting procedures while assisting the F&B team to achieve operational, financial, and guest satisfaction goals. The Food & Beverage Administrative Manager serves as the administrative, human resources, payroll support, and accounting liaison for the Food & Beverage Division, supporting the F&B General Manager, Executive Chef, Director of Catering Sales, Restaurant Managers, and Food & Beverage Managers across recruiting, onboarding, associate records, payroll support, invoice processing, financial reporting, catering billing, and compliance.

The position acts as the primary liaison between the Food & Beverage Division and Corporate Human Resources, Payroll, Accounting, and Compliance to ensure accurate communication, documentation, reporting, and execution of company policies and procedures. during high volume times or to help cover vacations, the F&B Admin Manager will be required to work on the outlet floor to ensure proper management coverage for the property.

This position is operationally flexible and may be asked, at times, to provide hands-on support during business needs, associate coverage gaps, vacation periods, call-outs, special events, or peak service periods. Support may include assisting on the restaurant floor, helping manage events, supporting bar operations, or providing additional leadership coverage as assigned by the Food & Beverage General Manager.

    Key Responsibilities:

    Human Resources & Recruiting

  • Maintain all Food & Beverage job postings, requisitions, and applicant tracking systems.
  • Coordinate recruiting; screen applicants and schedule interviews with department managers.
  • Manage pre-employment steps (reference checks, background checks, employment verification) and new-hire onboarding, orientation, and documentation.
  • Maintain accurate, compliant associate files and employment records that meet company standards.
  • Serve as liaison to Corporate HR; communicate policy, handbook, wage, benefit, and compliance updates to Food & Beverage leadership.
  • Assist managers with status changes, transfers, promotions, and wage adjustments.
  • Support recognition and engagement programs, labor-law postings, and departmental communications; maintain confidentiality of associate records.

    Payroll Support

  • Serve as designated backup payroll support representative for the Food & Beverage Division.
  • Monitor daily punch reviews and approvals; follow up on missed punches, missing approvals, and deadlines.
  • Maintain payroll readiness each pay period; generate and distribute pre-check reports to managers.
  • Coordinate payroll corrections between managers and Payroll/HR and maintain payroll documentation.
  • Assist associates with payroll inquiries while ensuring compliance and confidentiality of compensation information.

    Reporting & Administrative Support

  • Prepare and distribute daily, weekly, and monthly Food & Beverage reports and sales reconciliation.
  • Compile labor, recruiting, turnover, onboarding, and compliance reporting as requested.
  • Maintain departmental filing systems and document-retention procedures.
  • Prepare agendas, reports, presentations, and correspondence; record and distribute meeting minutes.
  • Track permits, licenses, and contracts; order supplies; and support special projects and leadership administrative needs.

    Leadership & Professional Standards

  • Reflect Concord's high standards of professionalism and follow all Standard Operating Procedures.
  • Maintain confidentiality of proprietary, financial, and associate information.
  • Provide a safe work environment, follow all safety and security procedures, and report accidents, injuries, or unsafe conditions immediately.

    Assist F&B management with event management and restaurant outlets when necessary. Vacation coverage, large overflow events, busy time coverage in Wren, Proper and Grounded.

    Support leadership and managers as needed and adhere to all Concord policies, brand standards, governmental regulations, and the Associate Handbook with an enthusiastic, service-oriented attitude.

    Qualifications:

  • Two (2)+ years of administrative, human resources, accounting, payroll support, or hospitality operations experience; hotel, restaurant, or catering experience preferred.
  • Strong organizational, time-management, communication, and interpersonal skills.
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook, and Teams).
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Ability to maintain confidentiality and handle sensitive information.
  • Experience with payroll, HRIS, applicant-tracking, accounting, or hotel management systems preferred.
  • Proven experience in managing F&B operations in hotels or restaurants
  • Strong leadership, coaching, and team development skills
  • Experience with financial management, budgeting, and cost control
  • Excellent communication, interpersonal, and problem-solving skills
  • Passion for delivering outstanding guest service and driving team performance

    Salary Range - $54,235.80 - $67,794.13
