TITLE: Special Events & Private Dining Sales Coordinator

POSITION TYPE: Hourly position with a 10% potential bonus.

SUMMARY: The Special Events & Private Dining Sales Coordinator is responsible for supporting the development of marketing and sales strategies to generate incremental sales for assigned restaurants through direct and indirect sales efforts, including planning components of group dining. This position focuses on providing the highest level of customer satisfaction and support to external clients and internal partners, serving as a liaison between the Sales and Catering team members, the Event Management team, and other departments within the hotel.

RESPONSIBILITIES:

  • Serve as a primary point of contact for private dining reservations, restaurant buyouts, and partner events, responding in a quick, timely, and professional manner to all internal partners and external customers.

  • Generate event sales by scouting new business opportunities and maintaining relationships with existing clients. Assist with planning events, developing contracts, and detailing requirements to ensure seamless execution by the restaurant teams.

  • Collaborate with all event vendors, including florists, rental companies, and security, to coordinate all necessary logistics for each event.

  • Partner with Concord Hospitality operations teams (Culinary, back of house, servers) to prepare for and execute successful events, ensuring adherence to Concord Hospitality standards.

  • Conduct site inspections and walk-throughs with clients to solidify event business and finalize details, ensuring all aspects of the event are meticulously planned and communicated.

  • Manage all catering events from start to finish, including booking, planning, and preparing detailed event information for the operations team.

  • Create proposals, contracts, and event orders tailored to each client's requests, while maintaining fiscal responsibility regarding rentals and supplies.

  • Recap events and provide operational, sales, and production suggestions to the team for continuous improvement.

  • Maintain existing assigned accounts/segments while diligently developing new business for restaurants through effective marketing strategies, including social media plans with digital marketing partners.

  • Gain knowledge of the hotel’s food and beverage products, pricing, presentation, and any other details critical to event success, including audio-visual needs and function space specifics.

  • Consistently achieve sales activity goals and individual revenue targets, including proactive and reactive calls, tours, and appointments as outlined by Concord and your supervisor.

  • Learn and utilize digital sales systems and conceptual sales processes (e.g., Delphi, CI/TY, PMS) to understand the hotel’s sales strategies and implement these tools effectively in daily responsibilities.

  • Prepare for and participate in all necessary internal meetings, conference calls, reporting, planning, and other communications required for this position.

  • Work collaboratively with internal and external partners to accurately forecast F&B revenues and optimize strategies to maximize hotel revenues.

  • Attend customer functions as needed and represent Concord Hospitality with professionalism, ensuring a positive experience for all guests.
