The Accounting/HR Assistant  will assist the Accounting Manager in the daily, monthly, and annual accounting processes for an assigned group of hotels: Additionally, s/he will assist the HR function with miscellaneous tasks as necessary. The position reports to the Accounting Manager with a dotted line to the Human Resources Manager.

The Day-to-Day*:

  • Answer enquiries regarding billing.
  • Sets up accounts for, and log advance deposits.
    • Researches and answer any guest questions or concerns in a timely fashion.Coordinates with the accounting manager on all issues concerning credit. Prints all PMS reports required including the invoices. 
  • Follow-up and make calls for outstanding accounts.
    • Contacts clients with past due accounts, at direction of the controller or assistant controller, to determine when payment may be made. 
  • Prepare all invoices with proper back-ups for mailing to ensure daily billings are mailed and guest request are promptly responded to.
  • Maintain -- with the help of the group rooms coordinator -- filing system for future groups, groups billed and groups paid.
  • Participates in credit meetings to review overdue/direct billing accounts and keep management informed of problem accounts in coordination with the Accounting Manager.
  • Assist the HR function with the on-boarding processes of new hires.
    • Assist in training classes, as needed.
  • Assist with special events (i.e., benefits enrollment, employee engagement celebrations.
  • Provide HR clerical support, as requested.

QUALIFICATION REQUIREMENTS:

Needed to be successful in this position:

  • Prior A/R experience (six months or more).
  • Ability to communicate effectively with the public and other team members.
  • Ability to read, write, and speak English fluently.
  • Strong computer skills.

EDUCATION: A high school diploma or equivalent required + accounting training preferred.

LANGUAGE SKILLS: Ability to read, write, and verbally communicate effectively and professionally with other business departments, guests, and vendors. Ability to diplomatically deal with difficult situations and people, while exhibiting a consistent level of professionalism.

PHYSICAL DEMANDS: While performing the duties of this job, the employee is regularly required to stand, walk, and talk or hear. The employee frequently is required to use hands to finger, handle, or feel objects, or telephone. The employee must regularly lift and/or move up to 10-25 pounds and frequently lift and/or move up to 50 pounds.
